Privacy Policy
MapleWish is operated by Maple Vibe Inc., Ontario, Canada (“MapleWish”, “we”, “us”). This policy explains how we collect, use, disclose, retain and protect personal information.
1. What we collect
Applicant accounts and applications
We may collect your name, email address, password credentials in hashed form, province, city or community, contact preferences, phone number, requested assistance amount and category, application answers, private story, optional public-story draft, optional photo, application status, verification information, internal review notes, and consent or acknowledgement records.
Contributors and leaf owners
We may collect contact and payment-related information needed to process a leaf purchase, the display name and message placed on a leaf, transaction identifiers, contribution amount, and referral/share information. Payment card details are handled by the applicable payment processor rather than stored by MapleWish unless explicitly stated otherwise.
Giveaway entrants
We may collect name, email, province or territory, eligibility confirmations, entry information, rules version, and winner-verification information.
Technical information
We may collect security logs, IP address, browser/device information, timestamps, referral information, share events, and other limited operational data needed to secure and operate the service.
2. Why we use information
- create and secure accounts and provide account recovery;
- receive, review and verify requests for assistance;
- communicate with applicants and deliver approved assistance;
- create a public Wish only after the recipient has separately approved the public material;
- process leaf purchases and maintain the public tree;
- operate and administer promotional giveaways;
- prevent fraud, abuse and security incidents;
- meet accounting, tax, legal and regulatory obligations; and
- send marketing only where we have an appropriate consent or other lawful basis.
3. Sensitive applicant information
Applications may contain sensitive financial, family, disability, health or other personal information. We limit access to people who need it for MapleWish operations and use safeguards appropriate to the sensitivity of the information.
You are not required to provide diagnostic records, government identification, banking credentials or medical files in the initial application unless MapleWish later explains why a specific item is reasonably needed for verification.
4. Public stories and photos
Submitting an application does not give MapleWish permission to publish your story, name or photo. If you are selected, we will work with you on the exact public material and seek separate approval before publication. Receiving help is not conditional on agreeing to publicity unless a particular program clearly states otherwise before you apply.
5. Who we may share information with
We may disclose information to service providers that help us operate MapleWish, such as hosting, security, email, database, payment-processing and professional-service providers. We may also disclose information where required by law, to protect users or MapleWish, or in connection with a corporate reorganization or sale subject to appropriate safeguards.
Some service providers may process information outside your province or outside Canada. Information processed in another jurisdiction may be subject to the laws of that jurisdiction.
6. Retention
- Abandoned application drafts may be deleted after approximately 12 months of inactivity.
- Declined or closed applications are generally deleted or de-identified within 24 months after closure unless a longer period is reasonably required for disputes, safety, fraud prevention or law.
- Financial and transaction records are retained for the period required by applicable tax and accounting rules.
- Approved assistance records may be kept as needed to document payments, program integrity and accounting obligations.
- Public stories may remain in MapleWish history while consent remains valid, subject to withdrawal requests and legal recordkeeping requirements.
7. Your choices and rights
You may ask to access or correct personal information MapleWish holds about you, withdraw consent where consent is the basis for a use, request deletion where appropriate, or challenge our privacy practices. Some information may need to be retained where required by law or reasonably necessary for fraud prevention, legal claims, accounting or completed transactions.
Marketing consent is separate from operational communications. Account verification, application updates, receipts and security messages may still be sent where needed to provide the service.
8. Security
We use technical and organizational safeguards intended to protect personal information, including access controls, hashed passwords and authentication tokens, private storage for applicant photos, security logging and restricted administrative access. No internet service can guarantee absolute security.
9. Children
Applicant accounts are intended for people who have reached the age of majority in their province or territory. A parent or legal guardian may apply on behalf of a child or household member.
10. Changes
We may update this policy as MapleWish changes. Material changes will be identified by a new effective date and, where required, we will provide additional notice or seek fresh consent.
